Privacy policy.
Wayfield handles delivery paperwork, which means it handles records about the people who make deliveries. This page says exactly what is collected, who can reach it, how long it stays, and how to get rid of it. It describes the software as it is built today, not as we would like it to read.

No tracking
This website runs no analytics, no advertising pixels, and no third-party scripts of any kind. Nothing you do here is measured.
No AI
No part of Wayfield uses artificial intelligence or machine learning. Nothing in your records is sent to a model, and nothing is used to train one.
Never sold
Your data is not sold, rented, brokered, or shared for advertising. There is no business model here in which that would happen.
Two vendors
Only our database provider and our host touch the data, and both are named below. There is no longer chain behind them.
Who is responsible for what
Wayfield is a tool that carriers use to document their own deliveries. When a fleet signs up, that fleet decides what to record, who its drivers are, and who its customers are. In the language of data protection law, the carrier is the controller of the delivery records and Wayfield is the processor: we hold and serve the data on their instruction and we do not use it for anything of our own.
This matters if you are a driver. Your employer decides what goes into a record and how long their account keeps it. If you want your information corrected or removed, the fastest route is your employer, and we will help them do it. You can also write to us directly and we will pass the request on and make sure it is answered.
For the marketing pages of this website and for our own customer accounts, Wayfield is the controller.
What this website collects
Nothing about you personally, and nothing that leaves your browser on its own.
There are no analytics, no advertising or social pixels, no session recording, no heatmaps, and no third-party embeds. We do not set cookies. The only thing stored on your device is a small counter in your browser that keeps the document number on the contact form ticking up. It contains no personal information, it never leaves your browser, and clearing your site data removes it.
Our host keeps standard server logs, which include IP addresses, for a short period for security and to keep the site up. That is ordinary web infrastructure and we do not build profiles from it.
If you send us a message through the contact form we receive what you typed: your name, your email address, your company, and the message itself. We use it to reply to you and to keep track of the conversation. We do not add you to a marketing list from it.
What the product collects
Everything below is entered or captured by a carrier and its drivers in the course of documenting a delivery.
- People. The name, email address and role of each person the carrier adds, so they can sign in and so a record can say who made the delivery.
- Deliveries. Container, seal, booking and bill of lading numbers, the truck and trailer, the consignee and the delivery address, arrival and departure times, equipment condition, and any note the driver writes.
- Signatures. The driver's signature and the receiver's signature, drawn on the device at the point of delivery. A signature is a personal record and we treat it as one.
- Photographs. Pictures the driver takes of the load, the container, or damage.
- Location. Where the device was at the moment the record was sealed, if the driver allows it. This is asked for once per delivery. It is never a continuous track, the app does not follow a driver between deliveries, and it does not run in the background. A driver who declines still gets a valid record: it prints saying the location was not recorded and why, rather than quietly leaving it blank.
- Time and device settings. The moment of sealing and the time zone it was sealed in, so the record reads the same in every office that opens it.
We do not collect anything a delivery record does not need. There is no address book access, no microphone, no contacts, no advertising identifier, and no background location.
Artificial intelligence
Wayfield does not use artificial intelligence or machine learning anywhere in the product. There is no model in the delivery flow, no model reading your documents, and no automated decision being made about any person.
Your records are never sent to an AI provider, and they are never used as training data by us or by anyone else. If that ever changes it will be announced on this page before it ships, not after, and it will not apply to records already sealed.
Who can see a record
Every account belongs to exactly one fleet, and the database itself enforces the boundary rather than the app asking politely. One carrier cannot read another carrier's loads, records, roster or documents, and this is checked by an automated security suite that attacks the API with real credentials from two different fleets.
Inside a fleet, dispatch sees the board and the archive, and a driver sees their own run and the records they signed. Photographs and signatures are held in private storage and served through links that are minted per view and expire, so a copied link goes stale rather than becoming a permanent open door.
A carrier can send a customer a link to a single delivery record. That link shows that one record and its evidence and nothing else, with no account required. Anyone holding the link can open it, so it should be treated like an emailed document.
Who else touches it
Two companies, both acting on our instruction and neither doing anything else with it.
- Supabase. The database, file storage and sign-in. Data is held on Amazon Web Services infrastructure and encrypted at rest and in transit.
- Vercel. Hosts and serves the website and the app, and keeps short-lived request logs.
That is the complete list. No advertising networks, no data brokers, no analytics vendors, no customer data platforms, no enrichment services, and no AI providers. We do not sell your data, we do not share it for advertising, and we will not.
If a carrier's records ever needed to move to another provider we would say so here first. If Wayfield were ever acquired, the buyer would be bound by this policy for records already held.
Why a sealed record cannot be edited
This one deserves a plain explanation, because it is a deliberate limitation rather than an oversight.
A proof of delivery is worth something precisely because it cannot be changed after the fact. When a driver seals a record, its contents are frozen and fingerprinted, and the database holds no permission to update or delete it. That is what lets a carrier put it in front of a customer, or an insurer, or a court, and have it mean something. A system that let anyone quietly amend yesterday's paperwork would not be evidence, it would be a note.
So a sealed record is not editable, by the driver, by the carrier, or by us. If something is wrong on one, the carrier voids it, which records the reason against it and leaves the original in place rather than erasing it. Unsigned drafts and open loads can be deleted normally.
Deleting an entire account is a different matter and is covered next. Immutability is about not rewriting history one line at a time. It is not a reason to keep your data forever.
How long it is kept, and how to have it deleted
While a carrier's account is open, their delivery records stay available to them. Freight paperwork is normally kept for years on purpose, because claims and audits arrive long after the delivery, and the retention period is the carrier's decision to make against their own legal obligations.
A carrier can have everything deleted. Write to us from the account's registered address and we will permanently remove that fleet: every delivery record, every signature, every photograph, the roster, and the logins. We will do it within 30 days and confirm in writing when it is done. There is no charge and no retention hold to negotiate past.
An individual can ask too. If you are a driver, or a receiver whose signature is on a document, you can ask us for a copy of what is held about you, ask for it to be corrected, or ask for it to be deleted. Because your employer or the carrier controls those records, we will route the request to them and stay on it until it is answered. Where a record is being kept as evidence of a completed delivery, a carrier may have a legitimate reason to hold it for a period, and if so we will tell you what that reason is instead of ignoring the request.
When somebody leaves a fleet, removing their login does not erase the deliveries they made, for the same reason above. Their name stays on the work they signed.
Your rights
Wayfield is operated from British Columbia, Canada, and handles personal information under Canada's Personal Information Protection and Electronic Documents Act and British Columbia's Personal Information Protection Act. Wherever you are, we will honour these rights rather than argue about which statute reaches us.
You may ask what we hold about you, get a copy of it, have it corrected, have it deleted, object to how it is used, or complain to a regulator. In Canada that is the Office of the Privacy Commissioner. We do not require you to give a reason, and we will not treat you differently for asking.
We answer within 30 days. If we cannot do what you asked, we will say why in plain words.
Security
Data is encrypted in transit and at rest. Access is scoped by fleet and by role in the database itself. Sealed records carry a fingerprint that detects alteration and a server signature that proves the record was issued by this system, and a customer can check both from a share link without an account.
Sign-in passwords have a 12 character minimum with character requirements. Accounts are created by invitation from a carrier, not by public sign-up. We run an automated security suite against the live system covering tenant isolation, record immutability, role escalation and storage access.
No system is perfect. If you find a weakness, write to us and we will take it seriously and act on it rather than treating the report as a nuisance.
Children
Wayfield is a tool for commercial drivers and freight offices. It is not directed at children, it is not available to the public, and accounts exist only where an employer creates them. We do not knowingly hold information about anyone under 16.
Changes to this policy
If this policy changes in a way that affects what is collected or who can see it, we will change the date at the top and tell account holders directly. We will not broaden how existing records are used by quietly editing this page.
